AI receptionist for golf courses

What an AI receptionist does for a pro shop, what it should never do, and how to tell if it's working at your course.

Updated September 25, 2026 · Tee Line Solutions

In short: an AI receptionist for a golf course is a phone assistant that answers every call to the course's existing number, 24 hours a day. It answers routine questions (rates, hours, conditions, policies) from answers the course has approved, takes tee-time and callback requests for staff, and hands a golfer to a person when they need one. Tee Line is an AI receptionist built only for golf courses.

Why golf courses need one

A pro shop's phone rings hardest when the counter is busiest: first tee times on a Saturday, a line at the register, a golfer asking about the cart rule. Staff can't serve the person in front of them and the caller at the same time, so calls ring out. Golfers who can't get an answer tend to book wherever someone picks up.

Most of those calls are the same handful of questions, asked all day: what's eighteen with a cart, are you open, is it cart path only, do you have a lesson this week. Those are exactly the calls an AI receptionist can take off your staff's plate.

What a golf course AI receptionist handles

Rates and tee times

Green fees, twilight, senior and 9-hole rates. Points golfers to your online booking, or takes a booking request (day, time, players) with a name and number for your staff to confirm.

Today's conditions

Frost delay, cart path only, closed for rain, aeration dates. You post it once in the dashboard and every caller hears it until it resets.

Lessons, outings and policies

Dress code, rain checks, walking, range, restaurant, directions. Lesson and outing inquiries become callback requests with the details your pro needs.

A person, when it matters

"Can I talk to someone?" rings your staff line, and staff press 1 to take the call. Emergencies get "hang up and call 911" first and an immediate staff alert.

What it should never do

  • Guess. A good AI receptionist only says what the course has approved. If it doesn't have an answer, it says so and takes a callback. Tee Line never invents a price, a policy, a tee time or the weather.
  • Pretend to be a person. Tee Line tells callers it's the course's AI assistant whenever they ask.
  • Record without saying so. Every call opens with "This call is recorded" before anything is captured.
  • Take card numbers. Payments, refunds and complaints always go to your staff.
  • Send callers in circles. Transfers go to a staff line, never back to the number that forwards to the AI.

How it works at your course

  1. Approve your answers. A setup questionnaire covers rates, hours, policies and who handles what. You approve every answer, and how it sounds on the phone, before a real call.
  2. Forward your number. Your existing number forwards to Tee Line. Nothing to install, and turning forwarding off puts your phones back exactly as they were.
  3. Watch it in the dashboard. Every call shows up with its outcome, transcript and recording, plus an inbox of callbacks and alerts. There's a phone app with notifications for new callbacks.

Several golfers can call at the same time; each call is answered separately.

How to tell if it's working

Judge it on bookings, not on how clever it sounds. Tee Line's free 14-day pilot has a fixed pass line: at least 3 bookings you can trace to Tee Line in 14 days, or you walk away with nothing to cancel. Staff mark a callback "Booked a tee time" in the dashboard, and it counts.

What it costs

Tee Line Starter is $399 a month with 1,000 calls included; Pro is $599 a month with 1,500 calls and direct tee-sheet booking for supported systems (rolling out). See pricing for the terms, or run your own numbers in the missed-call calculator.

Frequently asked questions

Does an AI receptionist replace pro shop staff?

No. It takes the routine calls so staff can serve the golfers at the counter. Complaints, refunds, payments, outings and emergencies always go to a person.

Will golfers know they're talking to AI?

Tee Line sounds natural, and it always tells a caller it's the course's AI assistant when they ask. It never claims to be a person.

What happens if it doesn't know an answer?

It says so and takes a callback: the caller's name and number, read back to confirm, go to your staff's inbox. It never guesses.

Can it book tee times?

On Starter it points golfers to your online booking or takes a booking request for your staff to confirm. Pro adds direct booking into supported tee sheets, starting with Lightspeed Golf / Chronogolf, now rolling out.

Do we have to change our phone number?

No. You forward your existing number to Tee Line and can turn forwarding off in one step.

Are calls recorded?

Yes, with a spoken notice at the start of every call before anything is captured. Recordings and transcripts belong to the course and delete automatically after 90 days by default.
